Who is overdue, and who is lapsed

How a dues line moves from due to overdue to lapsed by dates alone, and how paying brings a member back.

Dues lines change state because of dates, never because someone remembered to press something.

Due, overdue, paid

  • Due. The year's line has been opened and its date has not passed.
  • Overdue. The date has passed and no payment covers the line. This happens by itself, in both directions: pay a line, or move the date out, and it is due again.
  • Paid. The money received covers the amount asked. A paid line is never made overdue.

The tiles on the Dues page count them: Paid (for example 33/39), Due, Overdue and Outstanding, which is everything not yet recorded as paid.

Lapsed

A member's status is separate from their line. Each membership level has a grace period, in days after the due date. When a member's unpaid line is that many days past due, they are lapsed, and so is the household on the line. When they pay, they are active again. A level with no grace period never lapses anyone by itself, and a status you set by hand is not overridden. See member status.

An example

A level with a grace of 14 days and a due date of 1 June: on 14 June the member is overdue but active. On 15 June they are lapsed. If they pay on 20 June they are active again, with the payment on the record.

Imported renewal dates

If your import carried a renewal date for a member, that date dates their first line, so a member whose renewal is in the future is not overdue. See what the import report means.

People you cannot email

Overdue members with no email, no consent or a dead address are listed under Contact another way on the Dues page, with their phone number, so you can tell them yourself.

Next year

When the date comes round, Clubroll opens next year's lines for you. See the membership year and due date.
