The membership year and the due date
How the club's year and due date work, how to change them, and when next year's dues open.
A club has one membership year and one date on which its fixed-date levels fall due. Both are in Settings, on the card Membership year and dues.
What each field does
- Membership year. The year the roll is working on, such as 2026.
- Dues due date. The date fixed-date levels renew. A new club's date starts as 31 December, so nothing looks overdue until you set your own.
- Dues per member. For a club with no levels, the single price. If the club has levels, this field changes the default level's price, and your levels page is the better place to work.
- Currency. Dollars, pounds, euros, Canadian or Australian dollars. It controls every symbol the club sees.
Press Open the year to save. Changing the year opens dues lines for every member who does not have one. Changing the date re-checks which lines are overdue.
What "the term" means
A fixed-date level pays for the twelve months ending on the due date: the membership year runs to the due date. An anniversary level pays for the twelve months starting on each member's own date.
When next year opens
You do not have to press anything. A few weeks before the next due date, in time for the first reminder, the daily run opens next year's lines for you. It never does so when the date has already passed or when no price is set, and each opening is written to the audit log. The Reminders card says when next year will open.
Changing the date mid-year
Moving the date later makes some overdue lines due again, and moving it earlier can make due lines overdue. Look at the Overdue tile afterwards. Paid lines are never affected.
