Set up membership levels
How to define what each kind of member pays and when it renews, starting from four examples, and what a price change does.
A level is a kind of membership with its own price: Individual, Household, Student, Life, or whatever your club uses. Clubroll prices every member's dues line from their level, so you set a price once and never retype it.
Start from the examples
Open Dues, then Membership levels. A club with no levels sees Start from these examples: Individual 25, Household 40 for up to four people, Student 10 and Life 250. Change the names and prices, untick any you do not need, and press Create these levels. The guided setup has the same step.
You choose two settings for all of them: whether everyone renews on the club's date or each member on the anniversary of joining, and a grace period (30 days to begin with).
What each setting means
- Price. In the club's own currency. A price of nothing is only accepted if you tick that the level is free.
- Billing. Once a year, monthly (the year counts as twelve months and is still one line), or paid once for life.
- Renewal. Everyone on the club's date (change it in Settings), or each member on their own anniversary.
- Joining part-way through the year. Full price, or pro rata by whole months for a part-year.
- Grace period. How many days after the due date before an unpaid member is lapsed. Leave it empty to never lapse anyone automatically.
- People on one dues line. More than one makes it a household level: one payer, with the others named on the line.
- Show this level on the public join page. Untick it for levels you do not offer to new members.
Changing a price
Edit a level and press its Save button. A new price reaches members who have not paid this year, and each line gets a note saying the price changed. Members who have paid keep what they paid, and past years are never touched.
The default level and retiring
The default level is what a member with no level pays, and what the public join page leads with. Press Make (the level's name) the default to change it. A level is retired, never deleted: Retire hides it for new members while the members and lines that hold it keep it.
Members who already have a Tier
If your imported members have a Tier that names one of your levels, press Give members the level their Tier names. Each one's line changes by a written adjustment. See change a member's level or renewal date and households.
