Change what the reminders say
How to edit the wording and timing of each of the three reminders, and which placeholders fill in the member's own details.
The three reminders have sensible wording to begin with. You can change any of it on the Reminders page, where each step has a card with its own message.
What you can change
For each of Step 1, Step 2 and Step 3:
- Fires. The number of days from the due date. A negative number is before: -14 is two weeks before, 0 is the day itself, 14 is two weeks after.
- Subject. The email's subject line.
- Body. The message. Write it as you would write to a member.
- Enabled. Untick it to switch that step off without losing its text.
Press Save step 1 (or 2, or 3) on the card you changed. The table at the top of the page shows when each step fires and how many are due today.
Placeholders
Type these where you want the member's own details. Clubroll fills them in for each person:
- {{first_name}} and {{name}}
- {{association}}, your club's name
- {{year}} and {{due_date}}
- {{amount}}, what is still owed on the line
- {{days_overdue}}
- {{reference}}, their member reference
- {{level}} and {{level_price}}
What is added for you
If you have saved a payment link or bank details, they are added at the bottom of every reminder with the member's reference and a link for "already paid?". You do not need to type them into the body. See how members pay you.
Good habits
Keep the first reminder friendly and short. Say what is owed and how to pay. Reserve the firm wording for the third. The default third reminder says membership lapses after it, so only keep that sentence if it is true for your club's levels.
