Turn on dues reminders

Reminders run by themselves. You do not press anything each year: once your levels and dates are set up, Clubroll writes to each member who has not paid, at the right times, once.

What to set up first

1. Membership levels and prices, so each member has a dues line. See set up membership levels.
2. The due date, in Settings.
3. Your payment details so reminders can say how to pay. See how members pay you.
4. Your time zone, on the same screen, so "morning" means your morning.

When they go

There are three steps, measured from each member's own due date: 14 days before it, on it, and 14 days after. A member on an anniversary level is measured from their own renewal date. Every day within the send window you chose (the morning by default), Clubroll sends each member the step that is due for them. A step may go up to two days late if the service was restarted, and never early. A member gets each step once per year, and a member who has paid gets nothing.

Who is left out, and why

A reminder is not sent to someone who has paid, has no email address, has stopped club email, whose address no longer works, or who has no consent on record. Each of those is recorded with the reason, and members you cannot reach by email appear on the Dues page under Contact another way.

Look before it happens

Reminders shows the status card, Reminders send themselves, with the last daily run and when next year opens. What goes out this week is a dry run for today and the next six days, from the same plan the real run uses. Looking sends and records nothing.

The button

Send today's reminders runs today's work now. It uses the same checks as the daily run, so pressing it twice cannot send a member the same reminder twice.

If nothing is being sent

A club that is still in setup, or whose subscription has ended, is held with a one-line reason. While the service is in its restricted mode, reminders are worked out and recorded but not mailed to members; the preview shows what would go. See why you cannot publish or email yet.
