What the import report means

How to read the report after an import: the counts, the notes, the columns that were not used, and when "every row imported" is true.

After you press the import button, Clubroll shows a report. It is written so that it never says more than is true.

The four numbers

  • Rows read is how many people the file held.
  • Added is people who were not on the roll and now are.
  • Updated is people who were already on the roll and whose details changed. Next to it you may see "already matched": people who were in the file but needed no change.
  • Skipped is rows Clubroll chose not to import, each with a reason and the line number it was on. The numbers always add up: added, updated, already matched and skipped together make the rows read.

"Every row imported"

You only see these words when every row was imported, every column in your file was used, and there is nothing to warn you about. Otherwise the report says "N of M rows imported" and lists the notes below it. Read them before you rely on the roll.

The notes

Typical notes are: how many members had no consent recorded and so are not on the newsletter; how many have no join date; which members are pending, and that they are not charged until active; how many archived members came in as lapsed and opted out; and how many rows were contacts rather than members.

Columns found but not used

Below the notes is a list of columns that were in your file and did not feed a field on the roll, each with its reason. They are still kept with the import record. If one matters, you can import again and map it.

The line-by-line report

The page links to a CSV report with one line for every row: what happened to it and why. Open it in a spreadsheet when you need to find one particular person.

Renewal dates and balances

If your file had renewal dates or balances, the page called Renewal dates and balances from your imports shows them. A member whose next renewal is in the future is never marked overdue. See membership levels.

Mistakes

If the report is not what you wanted, press Undo this import. See undo an import.
