Import your list from Excel or a CSV file
How to prepare a spreadsheet, what Clubroll reads, and how to match your own column names.
Most clubs start with a spreadsheet, and that is fine. Clubroll reads Excel workbooks (.xlsx), CSV files and tab-separated files, and you can also paste rows straight in.
What to put in the file
One row per person, with a line of column names at the top. Useful columns are a name (or first and last name), an email, a phone number, the date they joined, their membership level, their status, their groups, a renewal date, a balance, and a yes/no column saying whether they agreed to club emails. You do not need all of them: only a name is needed.
Column names do not have to match anything. Capitals, spaces, hyphens and underscores are ignored, and common names such as "E-mail Address", "Member Name" or "Cat" are recognised. A column Clubroll does not recognise is kept as raw data and listed, never guessed. A column called "Subs?" could mean newsletter or subscription fees, so it is not read as consent.
Files Clubroll can read
- .xlsx, .csv and .tsv files, up to 6 MB and 20,000 rows. If the file is larger, split it.
- Text in UTF-8, UTF-16 or Windows-1252 (the Excel default in many countries). Commas, semicolons, tabs or bars can separate the columns.
- Old .xls files are turned back. Open it in Excel, choose Save As, and save a copy as .xlsx or CSV.
- A title above the column names is skipped, and Clubroll says so. Only one sheet of a workbook is read; the others are named as not imported, and the matching screen has a Sheet box if you need a different one.
Steps
- Open Members and press Import a CSV.
- Choose the file and press Upload and read the file, or paste the rows into the box and press Read the pasted rows.
- Check the table on Match your columns. If Clubroll chose the wrong separator or the column names are not on the first line, change the options and press Read it again with these options.
- Press Preview the import, read the dry run, then import.
Two things that catch people out
- A second member with no email address is welcome: people without email stay on the roll and appear on the Dues page for you to contact another way. See members without an email address.
- The same email twice in one file is skipped with the reason "a duplicate of line N". The first one is kept.
