Members who have no email address
How Clubroll keeps people who are not on email on the roll, and how you reach them instead.
Plenty of members, often some of the most loyal, are not on email. Clubroll keeps them on the roll like everyone else.
What works without an email
You can add a member with no email address, import a file that has blank emails, and keep as many such members as you like. They have a dues line each year, you can record their payments, and they appear in the directory if they agreed.
What cannot work
Clubroll cannot send them anything. They get no newsletter, no reminders, no receipts by email and no sign-in link. They cannot use the private data page either, which needs an email to send a link to.
How you reach them instead
- Filter the roll. On Members, tick Only members with no email and press Filter to see who they are. The page counts them for you.
- The Dues page does the chasing list. A card called Contact another way lists everyone who owes dues and cannot be reached by email, with their phone number and the reason. It is laid out so you can print it for the committee meeting.
- Receipts. For a payment from a member with no email, the receipt page has a print option. Print it (Ctrl+P or Cmd+P) and hand it over.
A privacy request from someone with no email
If a member with no email asks to see, correct or delete their details, log the request from their own record: their page has a button for it. You then answer it from the privacy screens. See answer a privacy request.
The online join form
A person who applies with no email must give a postal address instead. You see that on the application, and the approval screen reminds you to tell them yourself, by post or phone.
