Import your list from WildApricot
How to bring a WildApricot member export into Clubroll, what is kept, and what Clubroll deliberately does not carry across.
You can upload a WildApricot member export exactly as it came out of WildApricot. You do not need to edit the file first.
How to do it
- In WildApricot, export your members to a file. WildApricot's own help explains how; a CSV or an Excel (.xlsx) file both work.
- In Clubroll, open Members and press Import a CSV, or use the third step of the guided setup.
- Choose the file and press Upload and read the file. Nothing is added yet.
- On Match your columns, Clubroll shows what it found and says it looks like a WildApricot export. Each column of your file has a choice beside it; you can change any of them.
- Press Preview the import. The page that follows, Check before you import, is a real dry run: it shows the first ten rows exactly as they will be stored, the counts, any problems, and which members already on the roll would be updated.
- When you are happy, press the Import button. You land on the report, which is explained in what the import report means.
What comes across
Names (first and last together), email, phone, the date they joined, their level, their status, their groups (as tags), notes, the renewal due date and any balance. Every other column in the file is kept with the import record so nothing is lost, even though it is not shown on the roll.
What Clubroll does carefully
- Newsletter consent. Someone is put on the newsletter list only when your file says yes in a consent column. If the file says nothing, nobody is subscribed, and you confirm afterwards that they agreed. See why an imported member is not on the newsletter.
- Statuses. "Pending" members come in as pending with a note. Archived members come in as lapsed and opted out of email. Nobody is deleted.
- Dates that read two ways. If every date in the file could be day-first or month-first, Clubroll asks one question. See dates that read two ways.
- Contacts that are not members. A row whose "Membership enabled" is No is brought in with the status the file gave, and the report tells you to review it.
If something looks wrong
You can undo the import for 30 days. Importing the same file again is safe: a person already on the roll is updated, not added twice.
