Receipts for dues payments
How each recorded payment gets a numbered receipt, how to email or print it, and what happens to receipts when a payment is undone.
Every payment you record gets a receipt, so a member can ask "did you get my money?" and you can answer in one click.
Numbers with no gaps
Receipts are numbered 1, 2, 3 for your club, in the order the payments are recorded. A number is never reused and never skipped: the number is taken in the same moment as the payment, so a payment that was refused uses none. An entry you later undo keeps its own number, and its receipt says it was undone.
Send one
When you record a payment, tick Email a receipt. Clubroll emails it to the member straight away. To send one later, open the member's dues page, press the receipt's number in the Payments list, and press Email it (or Email it again if you sent one before). Under the button you see when it was last emailed and what happened.
A receipt email is a message about the member's own payment, so a member who has unsubscribed from the newsletter still receives their receipt. An address that has hard-bounced does not, and the page says why.
Print one
A receipt is a page of its own, with nothing but the club's name, the member, the amount, the date, how it was paid and the receipt number. Press Ctrl+P (Cmd+P on a Mac) to print it or save it as a PDF. Do this for a member with no email address: see members without an email address.
What a receipt does not say
A receipt records that the club entered a payment. It contains no sentence about tax, gift aid or the law, because those depend on your club's status. If your club needs a particular wording for tax purposes, check with your accountant.
If email is not switched on yet
If the service is still in its restricted mode, the receipt is not emailed, the number is kept, and the page says the email was held. Print it instead.
