Approve or decline an application
What happens when you approve, ask a question or decline an application to join, and how to approve many at once.
New applications wait in a queue until an officer decides. Nobody becomes a member, or reaches the roll, a segment or a dues run, until you approve.
Find the queue
Open Applications from the card on your Today page. Each waiting application shows the name, how to reach them and a Review button.
Review one
The application page shows What they said, with their answers, and What they agreed to: the three boxes, ticked or not, with the date and the version of the wording they saw. Then you can:
- Approve and make them a member. Choose the level they will Join at. In one step Clubroll creates the member at that level, records their three consent choices with the date they ticked them, opens an unpaid dues line, and logs your decision under your name. They are emailed a welcome. A person with no email is not emailed: you are reminded to tell them yourself, by post or phone.
- Send the question. Ask the applicant something first. It is emailed to them and shown on their application page.
- Decline with this message. The message starts with courteous wording you can edit. The applicant is emailed it. Declined applications are deleted after 30 days.
Approve many at once
Tick the applications on the queue and press Approve the ticked applications. Each joins at the level they chose, with the boxes they ticked, and gets an unpaid dues line.
Things you will see
- A flag when the person is already on the roll with the same email.
- A flag when the address was erased at the owner's request. Their newsletter and directory choices stay off until they agree again, whatever they ticked.
- A member who applies after the club's due date has a line that is overdue straight away, because that is a date fact.
