Turn on the online join form

How to let people apply to your club from its website, with consent boxes done properly, your own questions, and payment instructions.

Until you switch it on, your club's join page says what it always did: write to the secretary. Switched on, it takes proper applications, and you only have to approve them.

Switch it on

On your Today page, the Applications card says "Your join page tells people to write to you. Let them apply online." Follow it to Joining and renewing online, tick Show the application form on my join page, and let members renew from a private link, and press Save.

What the form asks

A name, an email address (or a postal address instead, if someone is not on email), a membership level from your own levels with its price and period, up to five questions of your own, and three separate boxes that are never ticked for them:

  • the club may use their details to run their membership (required),
  • the club newsletter,
  • a listing in the members' directory.

Each box is a record: the wording the person saw, and when they ticked it, is kept, so you can show what each member agreed to.

Your own questions

Under Your own questions, add up to five. Each can be a short answer, a pick-one list (at least two answers, one per line) or yes/no, and can be required. Answers are kept with the application and copied into the new member's notes.

How people pay you

Clubroll does not take or hold dues. Under How people pay you, add a payment link (https) and bank details or other instructions. After they apply, people see exactly what you wrote, and so does the confirmation email. Your treasurer marks the payment as received when it arrives.

How you hear

Under Hearing about a new application, choose an email for each application, or one email a day with the new ones. They go to the club's contact address. Every new application is also on your Today page.

Guarding the form

There is no CAPTCHA company involved. The form uses a signed one-time token, a hidden trap field, and limits per address and per club. A repeat application from the same email updates the waiting one instead of adding another.
