Export everything, and put it back

How to download your club's data as one ZIP of ordinary files, what is inside, and how to restore it into a new workspace.

Your club's data is the club's. You can take all of it, in files that any spreadsheet or text editor opens, whenever you like, and it costs nothing.

How

The owner or an officer opens Settings, finds the card Your data, and presses Download everything (ZIP). The page Your data says what is in the download and has the same button. The download works whatever state the subscription is in: in setup, active, or ended.

Because the file holds your whole roll, Clubroll asks for your password again if you last typed it more than 15 minutes ago. The page Confirm it is you has one box; press Confirm and download. Downloads are limited to ten an hour.

What is in the folder

One ZIP, with a folder of plain files:

  • The roll: every member and every column, including each person's newsletter, directory and notice choices, where each came from and when, and the history of those choices.
  • Dues and money: levels, dues, payments and refunds with their receipt numbers, members' "I've paid" notes, bank-statement lines, the reminder schedule and what each reminder did.
  • Newsletters: every issue as text and as a web page, who it went to, and what became of each message.
  • Your site: its settings and sections, and your photographs: the originals as uploaded (with the camera's hidden details already removed), the web sizes and the logo.
  • Joining: the join form's settings and questions, every application and the boxes ticked, and renewal requests.
  • Events, imports and the record: events, each import's report, the audit log, privacy requests, and the markers that stop erased people being added back.
  • README.txt says in plain words what each file is. manifest.json lists every file with its size and a checksum, and the reasons for anything left out.

Dates are written year-month-day and times are in UTC.

What is not in it

Passwords, sign-in sessions and card details. Clubroll never held card numbers. The platform's own working records (job logs, one-time links) are not your club's data either, and the manifest names each omission and why.

Putting it back

On Your data, the card Restore from a Clubroll export brings a club back from one of these ZIPs, with every member's choices exactly as they were: an opted-out member stays opted out. Restoring is for a workspace that has no members yet, so sign up for a new workspace and restore there. A workspace that already holds members cannot be restored over.

Keep a copy somewhere safe

Save the ZIP outside Clubroll, with your other club records, for example whenever an officer changes. See handing over to the next secretary.
