Email health, and what to do if sending is paused

What the Email health page shows, why Clubroll pauses a club's sending when addresses bounce, and how to get it turned back on.

Email providers decide whether a sender is trustworthy from how many messages bounce or are reported as spam. One club with a list full of old addresses can damage the sending reputation of everyone else. So Clubroll watches, and protects your club.

The Email health page

Find it from the Newsletters page. It shows how your recent mail is doing, whether sending is paused, which sender your mail goes out as, and a list of the addresses that have been switched off, each with a plain explanation and what you can do:

  • Email bounced. The address does not exist or does not accept mail. Press Correct the address to open the member's record, and fix a typo if there is one.
  • Email failing. The mailbox was full or unavailable several times lately, so it is paused. Ask for another address, or press Try again.
  • Reported as spam. The person reported a message as spam. They will not be mailed again, and you cannot change that. Speak to them yourself.
  • Email stopped. An officer stopped it.

A bounced address and a spam report are switched off for every club, because they affect the shared sender. An address that only failed a few times is switched off for your club alone, and an officer can press Try again to switch it back on.

When sending is paused

If five in a hundred of your last 500 messages bounce (with at least 50 sent and at least 3 bounces), or one in a thousand are reported as spam (with at least 2 reports), Clubroll pauses your club's sending. One club has to be stopped before it can harm the other clubs on the same sender. The page says: "Sending is paused to protect your club's reputation", with the figure. The bad addresses are already switched off.

Write to support@clubroll.app. We will check the list with you and turn sending back on. Rates are then read only from mail sent after that, so the old bounces cannot pause you again.

Pauses for everyone

Occasionally Clubroll pauses every club for a short time while it looks at its own reputation. The page says so; nothing you did, and your drafts are safe.

How to keep it healthy

Keep email addresses current, correct typos when a bounce shows, never import a list you were not given permission to write to, and send an essential notice only for what it is for.
