What a member can do on their own data page
How a member gets a private link, and what they can see, correct, download, change and ask for there, with no password.
Every club on Clubroll gets a page where members can see for themselves what the club holds about them. It saves you answering the same questions by email, and it means a member never needs a password for it.
How a member gets there
They open the club's data page, at clubroll.app/my-data followed by your club's short name, type the email address you have for them, and press Send me a link. The page gives the same answer whether or not the address is on your roll, so it cannot be used to find out who is a member. If the address is on the roll, they are emailed a private link.
The link works once and lasts seven days. Opening it only shows a button, because mail scanners open every link in a message; pressing the button uses it up and opens the data page, which stays open for 30 minutes. After that they ask for a new link. Nothing here sets a cookie.
What they can do on the page
- See everything held about them: their details, their dues, their choices and the history of those choices.
- Correct their name, phone and profile.
- Change the three choices: the newsletter, the members' directory and essential club notices. Each change is recorded with the date and where it came from.
- Download everything as a JSON or CSV file.
- Ask for their details to be deleted. This opens a request for you; see answer a privacy request.
- Say they have paid, if they owe dues: see when a member says they have paid.
What it does not show
Other members' details, your notes about the club, or anyone else's choices.
Telling members about it
Put the address on your website or in a newsletter: "To see or change what we hold about you, go to clubroll.app/my-data/yourclub." Your privacy notice includes it. See what to tell your members.
Members with no email
They cannot receive a link. If they ask, log their request from their record and answer it yourself. See members without an email address.
