Invite another officer, and who can do what
How to give the treasurer, the chair or a volunteer their own login, what each of the seven roles can do, and how to change a role or remove a login.
Everyone who signs in to Clubroll has their own login with one role. Do not share one login: each action you take is recorded under your name.
The roles
- Owner. The paying officer: everything, including billing, handing the club over and deleting it. There is exactly one owner, and ownership moves only through Officer handover.
- Officer. Everything in the club except billing, ownership and deletion: the roll, dues, newsletters, the website, events, applications, settings, privacy and the full export.
- Treasurer. Dues, payments, receipts, bank matching and reminders, and how members pay. Can read the roll.
- Editor. The website, newsletters and events. Can read the roll without contact details or notes.
- Membership secretary. The roll, applications to join and importing. Can read dues but not change them.
- Read-only (committee). Reads the roll, dues and newsletters and changes nothing.
- Member. Their own page and the newsletters.
A page or button that a role may not use says so in plain words: what it was, who can do it, and what you are signed in as. This is enforced on every page and form, not only hidden from the menu.
Invite someone
- Open Settings and use the card Invite someone, or open Logins and roles.
- Type their email address and choose a role.
- Press Send the invitation.
They receive a link by email. They open it, give their name, choose a password of at least 8 characters, and they are in. The link works once and expires after 14 days. If it expires, send a new one. If your club's email is not switched on yet, or the address has bounced, Clubroll shows you the link instead, so you can paste it into your own message to them.
Change a role or remove a login
Open Logins and roles from Settings. Choose another role on a person's row and press Change; the history keeps both. Remove login opens a page that says exactly what happens: the person can no longer sign in, any session they have open ends at once, their password is deleted, and their name, role and dates stay in the history. Their record on the roll is not touched. You cannot remove the owner, yourself or the last officer login; the page says why.
Give a member a login
Open the member on the roll and press Invite to the platform. They get a member login, linked to their record, so they see "My membership" and can keep their own details current. A member who has a login cannot be deleted by accident: remove the login first, then delete the member.
Things to know
- One email address is one login. If the address already has a login, Clubroll says so and does not send another.
- The owner and officers see Logins and roles; other roles do not.
