What the published tiers cost by the number of contacts, what is included, and what paying a year or two ahead really saves, with the source and the day each figure was read.

Every tier, by contacts
These are the monthly prices WildApricot publishes, in US dollars, by the number of contacts in your database (WildApricot's pricing page, read ). The page says that the one-year and two-year prices already include the prepay discount. So the second and third columns are the vendor's own figures for the month; the last two are our arithmetic, 24 times the monthly figure.

The two-year prepay, worked through
Take a club with 250 contacts. Paid monthly, $82 a month is $1,968 over 24 months. Paid two years ahead, $69.70 a month is $1,672.80 in one payment, which is $295.20 less. The page says paying two years up front saves 15%, and that is what the numbers give.
What you give up for the saving is flexibility. You pay two years at once, and we did not find on the pricing page what happens to prepaid time if you leave early or if the tier you need changes. Read the terms before you pay ahead. $39 a month for Clubroll is $936 over the same 24 months, with no money paid ahead.
What is included
Every size of plan has the same features (WildApricot's pricing page, read ): the entry size has the same features as the largest, and the tiers differ only in how many contacts they hold. Among the features the page lists:
- A drag-and-drop website builder
- Custom forms to collect member information
- Event registration forms
- Automatic recurring charges for dues
- Online donation forms
- An online store
- A mobile app for members
- Email campaigns to segments of members
No set-up, customization, training, per-transaction or cancellation fees (WildApricot's pricing page, read ). For setting up it offers onboarding help from its own experts (WildApricot's pricing page, read ).
Contacts, not members
The tiers are counted in contacts. We did not find, on the pricing page, whether a lapsed member, an archived record or someone who only registered for an event counts toward your tier. Count first. Open your own Contacts list, read the total, and ask WildApricot what it includes before you decide which row of the table is yours.
The steps are uneven. $16 a month more to go from 100 to 250 contacts; $72 a month more to go from 250 to 500 contacts; $111 a month more to go from 500 to 2,000 contacts. A club with 260 contacts pays for 500. If you are a few contacts over a tier, it is worth knowing which records those are.
Payment processing
The only extra fees named are those of your payment provider (WildApricot's pricing page, read ). The page lists its own payment processing, or other payment systems for an additional fee (the amount is not on the page).
Some other vendors' pages put that fee at 20% of the subscription for US and Canadian accounts that use Stripe, PayPal or Authorize.Net: one of them says so on its pricing page (Covey's pricing page, read ). That is a competitor's statement. We could not find the figure on WildApricot's own pages and have not confirmed it, so ask WildApricot for the number that applies to your account before you rely on it.
What the page does not say
We did not find these on the pricing page, so we do not state them: what counts as a contact; what happens to prepaid time if you leave; how long your data is kept after you cancel; the amount of any extra fee for a payment system other than its own; which exclusions apply. Put these to WildApricot in writing and keep the answers.

Questions
How much does WildApricot cost a month?
On its pricing page it is $66 a month for up to 100 contacts, $82 for 250, $154 for 500 and $265 for 2,000, billed monthly, in US dollars, as read on 1 October 2026. Paying a year or two ahead lowers the monthly figure.
Is there a free plan?
The pricing page offers a 60-day free trial, no card needed. We did not find a free plan on it. A trial account that is not upgraded is deleted, so export what you want to keep first.
Does it cost more to pay month by month?
Yes. At every size the published monthly price is higher than the one-year price, which is higher than the two-year price. The page says paying one year up front saves 10% and paying two years up front saves 15%.
What is a contact?
We did not find the word defined on the pricing page. Before you pick a tier, read the number WildApricot shows on your own Contacts list, and ask it whether archived or lapsed records count.
What would the same club pay for Clubroll?
$39 a month, whatever the size. There is no yearly or two-year prepay, and the plan is billed monthly. See what it does and does not do before you compare prices.
